Registered Nurse (RN) / Licensed Practical Nurse (LPN)

Job Description

We are seeking a skilled and detail-oriented Medical Office Administrative Assistant to support our healthcare operations within the DJS facility. The ideal candidate will excel in providing excellent customer service and managing a variety of administrative tasks related to medical care for youth in our custody.

Key Responsibilities

• Maintain excellent customer service at all times, ensuring a welcoming environment for staff, youth, and visitors.
• Assist the Facility Nursing Supervisor in coordinating somatic and behavioral health clinics.
• Scan, email, or fax medical records to interdisciplinary DJS team members and authorized requestors; review consents for appropriate signatures.
• Perform operational office functions, including receiving and distributing mail, verifying invoice accuracy, and assisting with clinics.
• Make and track off-ground referrals and appointments; fax medication orders to pharmacies and confirm receipt through an audit process.
• Develop and maintain a community provider list/spreadsheet for off-ground referrals.
• Maintain current Vaccine Information Sheets and updated health record forms in the clinic area.
• Organize youth records in appropriate chart order and maintain confidential medical records, preparing new charts and following retention schedules for destruction.
• Attend and record minutes of monthly staff meetings; maintain health center staffing records.
• Manage inventory of supplies and equipment, identifying trends and needs.
• Schedule referrals for youth and maintain nursing supplies inventory through usage reports.
• Communicate with facility case managers regarding youth insurance information, family contacts, and health updates.
• Answer multiple-line telephones and communicate effectively with staff, parents, and DJS officials.
• Assist with the setup of health clinics (dental, medical, mental health, midwifery, and optometry), ensuring office and exam areas are organized and stocked.
• Request office and medical supplies for clinical use as needed.
• Collect and maintain statistics from health center operations for monthly submission to the Director of Nursing and Health Administrator.

Qualification

• High school diploma or equivalent; additional education in office administration or healthcare preferred.
• Previous experience in a medical office or healthcare administrative role is preferred.
• Strong organizational skills and the ability to multitask effectively.
• Excellent communication skills, both written and verbal.
• Proficiency in Microsoft Office Suite and familiarity with office equipment.
• Ability to handle sensitive information with confidentiality and professionalism.
